Privacy Policy

The short version: we collect as little as possible, we never sell your information, and we only use what you give us to provide the service you asked for. If you email us, we use your address to reply. That is the spirit of everything below.
Who we are
RatingPilot helps UK trades manage and reply to their online reviews. The service is run from the United Kingdom by its founder, Kaiden Mackay. For anything in this policy, or any question about your data, email hello@ratingpilot.co.uk and a person will answer.
This website
This site is a simple information page. It sets no cookies, runs no analytics or tracking, and has no forms. There is nothing here quietly watching you.
Two things happen in the background, as on almost every website:
- Our hosting provider (Vercel) keeps standard server logs, which include the visiting device's IP address, for security and to keep the site running.
- If you email us, your message and email address arrive in our inbox, which is provided by Google Workspace. We use them to reply to you and for nothing else. If you asked about early access, we will keep your email so we can contact you when places open. Ask us to delete it at any time and we will.
Early access and pilot customers
If you join our pilot or early access programme, we collect what we need to run the service for you:
- Your name, contact details and business details.
- Your business's public reviews and business profile information, with your permission.
- Information about how you like to sound in replies, so the replies we draft are yours, not generic.
We use this only to provide RatingPilot to you. We do not sell it, rent it or share it for marketing.
Google data
When you connect your Google Business Profile to RatingPilot, you give us permission to read your reviews and business information and to post the replies you approve. We treat that access carefully:
- We use Google data only to provide RatingPilot's features to you: reading reviews, drafting replies, and posting replies you have approved.
- We never sell Google data, never use it for advertising, and never pass it to anyone except the service providers who help us run RatingPilot, listed below.
- You can withdraw our access at any time from your Google account's security settings, and we will tell you how whenever you ask.
- RatingPilot's use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
How the AI part works
Reply drafts are written with the help of AI from Anthropic (the Claude models). To draft a reply, the review text and your voice preferences are sent to Anthropic's service for processing. Anthropic acts as our processor and does not use this data to train its models. Every draft is checked before it goes anywhere, and in approval mode nothing is posted without your say-so.
Who we share data with
Only the companies that help us run the service, and only what each needs to do its job: Vercel (website hosting), Google (email and, for connected customers, the Business Profile connection) and Anthropic (AI drafting). When the full service launches, payment processing and text messages will be handled by providers such as Stripe and Twilio, and this policy will be updated to name them before they handle your data. We never sell personal information to anyone.
Where your data lives
We keep customer data in the UK or the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on the safeguards UK law recognises, such as adequacy decisions and standard contractual clauses.
How long we keep it
Emails to us: for as long as the conversation is live, plus a reasonable period in case you come back. Early access list: until launch, or until you ask to come off it. Pilot customer data: for as long as you use the service. When you leave, your contacts and voice information are deleted within 30 days of your request. Replies already posted publicly on your profile remain public, because they are part of your business's public record, but they are disconnected from our systems.
Your rights
Under UK data protection law (UK GDPR), you can ask us at any time to:
- show you the personal data we hold about you,
- correct it, delete it, or hand you a copy,
- stop using it in a particular way, or stop contacting you altogether.
Email hello@ratingpilot.co.uk and we will act on it promptly, and within one month at the latest. If you are unhappy with how we handle your data, you have the right to complain to the UK's Information Commissioner's Office at ico.org.uk.
Changes to this policy
If we change this policy, the date at the top changes with it, and if the change matters to you (for example, a new provider handling your data), we will tell existing customers directly before it takes effect.
